The digitization of pay slips is a process that has seen significant growth in recent years. This process, which involves sending pay slips in electronic format rather than on paper, is attracting more and more companies due to its many advantages. In this article, we will explore the benefits of this practice and compare PDF pay slips with true electronic pay slips. Finally, we will look at the advanced features that a paperless pay slip solution can offer companies.

The benefits of paperless pay slips

The transition to electronic pay slips offers a multitude of advantages for both employers and employees. Here are some of the main benefits:

  1. Considerable time savings

Automating the processes of generating and sending pay slips reduces the time spent on these administrative tasks. There is no longer any need to print, fold, and send them by mail. With just a few clicks, everything is taken care of, freeing up time to focus on tasks with higher added value.

  1. Cost reduction

Eliminating paper, ink, postage, and printing equipment results in significant savings. Added to this is a reduction in the costs of managing and storing physical documents. Some studies show that for a workforce of 1,000 employees, labor costs are estimated to drop from nearly €20,000 to €0! In total, the cost of a pay slip would be €0.40 per electronic pay slip, compared to €2.53 for a paper pay slip. 1.

  1. Enhanced security

Unlike paper pay slips, which can be lost or intercepted, electronic pay slips benefit from multiple levels of security. Encryption, electronic signature, and time-stamping systems guarantee the integrity and confidentiality of the data transmitted.  This also provides additional security, as you are no longer subject to the vagaries of paper archiving (fire, water damage, loss), etc.

  1. Easy access for employees

Employees can view their pay slips anytime, anywhere, thanks to secure access to their personal electronic safe. No more lost documents—employees can retrieve their complete pay slip history in just a few clicks.

  1. Legal compliance

The digitization of pay slips is governed by strict standards, ensuring that the documents are legally valid and comply with regulatory requirements. For example, in France, the RGS** electronic signature and archiving in accordance with the Z42-013 standard ensure that electronic pay slips have probative value.

  1. Eco-friendly approach

Reducing paper consumption is a gesture that benefits the environment. Opting for paperless pay slips helps limit the company's ecological footprint while contributing to a sustainable development policy.

What does the law say about the digitization of pay slips?

Firstly, it is important to note that the El Khomri law of 2017 provides a legal framework for the digitization of pay slips. The aim is to encourage French companies to adopt a practice that increases their productivity and boosts their competitiveness.

It introduces anopt-out, allowing employers to send pay slips in electronic format by default, without waiting for prior agreement from employees. Employees must now express their opposition if they wish to continue receiving their payslips in paper format. However, employers must comply with certain obligations, including informing employees one month before the introduction of electronic payslips and processing any refusals within three months.

The law also requires that electronic pay slips be legible and preserved for at least 50 years or until the employee reaches the age of 75. In addition, the integrity and confidentiality of personal data must be respected when transmitting and archiving documents. Electronic pay slips must also be accessible via the Compte Personnel d'Activité (CPA), an online platform set up by the government, although this platform is not used for archiving pay slips.

💡 Good to know: Employees have the right to refuse to use an electronic safe to receive their pay slips. This will not be mandatory in 2024. This refusal is legitimate and must be respected by the employer.

PDF or electronic pay slips: which is truly secure?

It is important to distinguish between a simple pay slip in PDF format and a genuine electronic pay slip.

PDF pay slip:

The PDF format is often perceived as an electronic version of a paper pay slip. However, PDF pay slips lack certain features that guarantee their legal validity. For example, a PDF sent by email does not necessarily have advanced security mechanisms, such as electronic signatures or timestamps, and can therefore be altered. It also offers no guarantee of receipt, as an email can easily be ignored or lost in spam. In addition, this format does not include secure automatic archiving.

Electronic pay slip:

An electronic pay slip, on the other hand, is much more than just a digital file. It incorporates advanced features, including an RGS** electronic signature that ensures the authenticity and integrity of the document. The slip is often accompanied by a timestamp guaranteeing its probative value. In addition, electronic pay slips are automatically archived in secure spaces that comply with current legislation, ensuring easy and secure access for employees over the long term.

So, where traditional PDFs may have shortcomings in terms of security and compliance, electronic payslips offer a comprehensive solution that meets the legal requirements and security needs of modern businesses.

The benefits of an electronic pay slip with advanced features

Today, paperless payroll management solutions are becoming increasingly sophisticated and perfectly suited to the needs of businesses. Here is an overview of the advanced features these solutions can offer:

  • Send pay slips with just a few clicks

Payroll management is simplified as much as possible. With just a few clicks, employers can generate and send pay slips to all employees, whether electronically or by mail.

  • Easy sending via virtual printer or drop-off agent

The solution integrates directly with existing payroll software using a virtual printer or drop agent, making it easy to send electronic pay slips without changing your existing tools.

  • Automatic upload to the digital vault

Pay slips are automatically uploaded to the employee's electronic safe. This service includes an electronic signature that complies with RGS** standards, ensuring the integrity and probative value of the document.

  • Secure email notification

Once the pay slip has been sent, the employee receives a secure email notification, providing proof of delivery. Each delivery is logged for effective tracking.

  • Secure and compliant hosting

Data processing and hosting are carried out on certified platforms in France, guaranteeing the security and confidentiality of information. These platforms are ISO 9001 and 27001 certified, thus meeting the most stringent standards in terms of quality management and information security.

  • Electronic archiving compliant with standard Z42-013

Pay slips are archived for 10 years in accordance with standard Z42-013 and certified NF 461, thus guaranteeing the long-term durability and security of the documents.

  • Autonomous management of recipients

The solution allows the company to manage its recipients independently, whether adding or removing employees from the distribution list. Importing the existing employee database facilitates this management.

  • Traceability and receipt control

Each newsletter mailing is traceable, whether sent electronically or by post (if desktop publishing mode). This allows the employer to easily verify that the documents have been received.

  • GDPR compliance

Finally, the solution ensures full compliance with the General Data Protection Regulation (GDPR), guaranteeing that employees' personal information is protected and handled responsibly.

Electronic pay slips offer undeniable advantages in terms of time savings, cost savings, security, and legal compliance. Opting for an advanced paperless solution that includes features such as automated sending, electronic signatures, and secure archiving is a real asset for any company wishing to modernize its payroll management while remaining compliant with legal requirements. The transition to paperless payroll is therefore not only an opportunity to simplify administrative processes, but also a way to adopt a more sustainable and secure approach.
